4. Registration, Deposit & Payment Schedule

A deposit of $750 USD is required to reserve a place on the pilgrimage.

Of this deposit, $500 is nonrefundable in the event of an ordinary participant-initiated cancellation, except where applicable law requires otherwise.

The remaining $250 is refundable for cancellations received in writing on or before March 31, 2027.

Early Registration Payment Schedule — $3,995

  • $750 deposit due upon registration.

  • $1,250 due April 1, 2027.

Regular Registration Payment Schedule — $4,250

  • $2,250 final payment due July 15, 2027.

Participants registering after a scheduled payment deadline must pay all installments already due at the time of registration.

Payment reminders will be provided before scheduled due dates.

If a payment becomes overdue, the organizer will contact the participant and provide a reasonable opportunity to bring the account current. Continued nonpayment may result in cancellation of the reservation, subject to the cancellation provisions of this agreement and applicable law.

5. Participant Cancellation & Refund Policy

The organizer recognizes that unforeseen circumstances may require a participant to cancel.

However, international group travel requires advance financial commitments for accommodations, transportation, local guides, and other services.

The following cancellation schedule is intended to provide reasonable flexibility while accounting for these commitments.

All cancellation requests must be submitted in writing to [email protected].

The effective cancellation date is the date the written request is received by the organizer.

The following schedule applies to ordinary participant-initiated cancellations:

Cancellation Date Refund Policy
Through March 31, 2027 All payments refunded except $500
April 1 – May 31, 2027 Up to 75% of the total pilgrimage price refunded
June 1 – July 15, 2027 Up to 50% of the total pilgrimage price refunded
July 16 – August 14, 2027 Up to 25% of the total pilgrimage price refunded
August 15, 2027 onward No refund

Refund Calculations

Refund percentages are based on the participant's confirmed registration price, whether early or regular registration.

For cancellations through March 31, the organizer retains $500 and refunds all other payments received.

For cancellations beginning April 1, the applicable cancellation charge is calculated as the nonrefundable percentage of the total confirmed pilgrimage price. The refund is the amount actually paid minus that cancellation charge, but cannot be less than zero.

The $500 nonrefundable deposit portion is included within, rather than added to, the applicable cancellation charge.

For example:

  • A participant who pays only the $750 deposit and cancels by March 31 receives a $250 refund.

  • A participant who pays the $3,995 early registration price in full and cancels between April 1 and May 31 receives a $2,996.25 refund.

Cancellation charges are intended to reflect advance expenses, reserved services, and reasonably anticipated losses. Where required by applicable law, charges will be adjusted to account for cost savings or replacement bookings.

Refunds will be issued to the original payment method whenever reasonably possible and within the period required by applicable law.

The cancellation schedule does not limit any mandatory rights to refunds or cancellation without fees under applicable travel or consumer protection laws.

6. Reservation Transfers

Participants who are unable to attend may request to transfer their reservation to another eligible participant.

Requests should be submitted to the organizer as soon as reasonably possible.

Transfers are subject to reasonable notice, the replacement participant satisfying applicable travel requirements, and any actual costs associated with changing reservations.

Any mandatory legal right to transfer a qualifying travel package will be honored.

7. Travel Insurance

Comprehensive travel insurance is strongly recommended for all participants.

International travel involves financial commitments and circumstances that cannot always be anticipated.

Participants are encouraged to purchase insurance promptly after registration and to consider coverage for:

  • Trip cancellation and interruption.

  • Unexpected illness or injury.

  • Emergency medical treatment abroad.

  • Emergency medical evacuation and repatriation.

  • Travel delays and missed connections.

  • Lost, stolen, or delayed baggage.

  • Relevant pre-existing medical conditions, where coverage is available.

Participants may also wish to consider Cancel For Any Reason (CFAR) coverage, which may provide additional flexibility. Such policies have specific eligibility requirements, purchasing deadlines, exclusions, and reimbursement limits.

Travel insurance is not included in the pilgrimage price.

Each participant is responsible for selecting appropriate coverage and reviewing the applicable policy terms.

The organizer's cancellation policy remains in effect when unexpected personal circumstances prevent travel, except where applicable law provides otherwise.

8. Cancellation by the Organizer

The organizer intends to conduct the pilgrimage as scheduled. However, circumstances may occasionally require cancellation.

If the organizer cancels the entire pilgrimage before departure, participants will receive a full refund of all pilgrimage payments made to the organizer, together with any additional remedies required by applicable law.

If the pilgrimage cannot proceed because of insufficient enrollment, participants will be notified as early as reasonably possible.

The organizer is not ordinarily responsible for independently purchased airfare or other personal travel expenses, except where applicable law provides otherwise.

Participants are encouraged to wait for confirmation that the pilgrimage will proceed before purchasing nonrefundable airfare.

9. Extraordinary Circumstances

Events beyond reasonable control may affect travel arrangements. Such circumstances may include severe weather, natural disasters, public health emergencies, significant transportation disruptions, governmental restrictions, or serious safety concerns.

When necessary, the organizer may adjust, postpone, or cancel affected activities to protect participants and respond to changing conditions.

Significant changes will be communicated promptly, and reasonable efforts will be made to provide suitable alternatives.

Refunds and other remedies will be determined in accordance with applicable law.

Nothing in this agreement removes a participant's right to a full refund where mandatory travel law permits cancellation without fees because extraordinary and unavoidable circumstances significantly affect the pilgrimage.

10. Itinerary & Activity Changes

The pilgrimage itinerary is carefully developed to provide meaningful cultural, educational, and spiritual experiences throughout Southern Italy.

However, adjustments may be necessary because of weather, road conditions, site closures, local schedules, availability of guides or practitioners, or other unforeseen circumstances.

The organizer may make reasonable adjustments to the order, timing, or details of scheduled activities.

When possible, comparable experiences will be provided if a planned activity becomes unavailable.

Material changes to contracted services will be addressed fairly and in accordance with applicable travel law.

11. Accommodations & Room Arrangements

Accommodations are included for thirteen (13) nights.

Lodging may include traditional countryside accommodations, small hotels, guesthouses, or similar properties selected for their location, character, and suitability for the group.

Some bedrooms and bathrooms may be shared.

Private bedrooms are not guaranteed.

Participants will not be required to share a bed without their agreement.

The organizer will make reasonable efforts to accommodate room preferences and accessibility needs communicated in advance.

12. Transportation & Group Travel

Transportation for scheduled group activities and excursions is included in the pilgrimage investment.

For arrival in Italy, hotel shuttle transportation will be available at designated times to bring participants to the accommodations.

The designated arrival time at the hotel, shuttle schedules, and related arrangements will be communicated closer to the pilgrimage dates so participants can plan their flights accordingly.

Participants are responsible for arranging and paying for their own airfare and any transportation outside the scheduled group arrangements.

Travel throughout Southern Italy may involve winding mountain roads, narrow streets, uneven terrain, and variable travel times.

Participants agree to comply with applicable transportation safety requirements and reasonable instructions from drivers, guides, and the pilgrimage leader.

Participants undertaking independent activities are responsible for arranging their own transportation and returning to the group at the agreed time.

13. Health, Mobility & Personal Well-Being

The pilgrimage includes visits to villages, archaeological sites, sacred spaces, and natural landscapes.

Some locations may involve walking, stairs, hills, uneven stone pathways, or limited accessibility.

Participants are encouraged to consider their personal health and mobility needs before registering.

Participants with accessibility requirements should contact the organizer before booking to discuss the itinerary and available accommodations.

Participants are responsible for bringing necessary medications and personal medical supplies and for consulting their healthcare provider regarding relevant travel concerns.

Any medical information requested for safety or emergency planning will be handled confidentially and used only as reasonably necessary.

Participation in optional physical, spiritual, or ceremonial activities is voluntary.

14. Emergency Medical Care

In the event of illness, injury, or another medical emergency, the organizer will make reasonable efforts to assist participants in accessing appropriate local medical services.

This may include contacting emergency responders, assisting with communication, and notifying a designated emergency contact when appropriate.

Participants are responsible for their personal medical expenses, subject to applicable law.

International medical and emergency evacuation insurance is strongly recommended.

15. Personal Responsibility & Travel Risks

International travel involves ordinary risks, including transportation delays, illness, injury, changing weather, unfamiliar environments, and loss of personal belongings.

Participants are expected to exercise reasonable care, follow safety guidance, and communicate concerns promptly.

The organizer will take reasonable steps to provide a safe and well-organized pilgrimage.

Each participant is responsible for their own personal decisions and activities, while the organizer remains responsible for fulfilling its obligations under applicable law.

16. Respectful Participation & Group Conduct

The pilgrimage is founded upon respect for the land, the cultures and traditions encountered, and all individuals participating in the journey.

Participants are expected to approach local communities, sacred sites, cultural practitioners, and fellow travelers with consideration and respect.

Respectful communication, appropriate personal boundaries, and cooperation with reasonable group arrangements are expected.

Harassment, threatening behavior, discrimination, or conduct that seriously compromises the safety or well-being of others will not be tolerated.

If a significant concern arises, the organizer will make reasonable efforts to address it fairly. In serious circumstances, removal from an activity or the pilgrimage may be necessary, subject to applicable law.

17. Cultural Experiences & Ceremonial Participation

The pilgrimage may include opportunities to experience traditional music, dance, herbal knowledge, sacred spaces, and ceremonial practices.

These experiences are offered for cultural education, personal reflection, and connection.

Participation in optional ceremonies or spiritual practices is voluntary.

Participants are expected to respect the traditions of local practitioners, observe the boundaries of sacred spaces, and obtain appropriate permission before photographing or recording cultural or ceremonial activities.

18. Food & Dietary Considerations

Two meals per day are included, generally breakfast and dinner.

Meals will offer opportunities to experience regional cuisine and local food traditions.

Participants are requested to communicate significant dietary restrictions or food allergies before travel.

The organizer will make reasonable efforts to communicate dietary needs to hosts and food providers but cannot guarantee an allergen-free environment.

Participants with severe allergies are encouraged to take appropriate personal precautions.

19. Passports & Travel Requirements

Participants are responsible for obtaining and maintaining all necessary travel documents.

This includes a valid passport and any visas, authorizations, or other documentation required for entry into Italy.

Entry requirements may change before departure.

Participants are responsible for verifying current requirements through official government sources sufficiently in advance of travel.

Expenses associated with obtaining travel documents are the participant's responsibility.

20. Photography & Privacy

Photographs may be taken during the pilgrimage to document shared experiences.

Participants will be asked separately for permission before identifiable photographs or recordings are used for public marketing or promotional purposes.

Declining promotional photography consent will not affect participation.

Participants are expected to respect the privacy of fellow travelers, local hosts, and ceremonial experiences.

21. Personal Belongings

Participants are responsible for safeguarding their personal belongings, including passports, money, luggage, electronics, and valuables.

Participants are encouraged to keep important documents secure and avoid leaving valuables unattended.

In the event of loss or theft, the organizer will provide reasonable assistance where possible.

Responsibility for any loss or damage will be determined according to applicable law.

22. Concerns & Communication

Open and respectful communication is encouraged throughout the pilgrimage.

Participants should bring concerns arising before or during the journey to the attention of FreeDom Flowers or the designated group contact as soon as reasonably possible.

The organizer will make a good-faith effort to address concerns fairly and promptly.

Formal concerns may be submitted to:

[email protected]

Participants retain all rights and remedies provided by applicable law.

23. Agreement & Applicable Law

This agreement establishes the responsibilities of both participants and the organizer and is intended to provide clear and fair expectations for all parties.

The terms accepted at registration will govern the participant's booking.

Any material changes will be communicated in writing and handled in accordance with applicable law.

Nothing in this agreement limits legal rights or protections that cannot lawfully be waived.
